Position Overview

Consistent with the strategic priorities of the UNO Charter School Network (“UCSN” or “Organization”), the Payroll Manager will report directly to the Chief Financial Officer and manage all payroll functions for the organization.  Under supervision of the Chief Financial Officer, the Payroll Manager will be responsible for managing the bi-monthly payroll process for all employees of UCSN and other related transactions. The Payroll Manager will work among the accounting team and the human capital team and consistently cross train in order to create a deep accounting office and allow for constant improvement and refinement of services.

Core Responsibilities

  • Process and reconcile an accurate and timely semi-monthly payroll in Paycor and the time and attendance system for 700+ employees across 16 campuses and the Central Office;
  • Manage time and attendance, providing oversight, training, and support to all campuses;
  • Collaborate with the Human Capital Department to administer the employee pension and 401k ensure proper submissions, tracking, and compliance with the Chicago Teachers Pension Fund and legal requirements
  • Update and verify all employee changes and adjustments including processing new hires, transfers, promotions, terminations, etc (related to payroll processing)
  • Align payroll system with fund based accounting system for proper coding and allocation of all 700+ employees
  • Track and process bonus and stipend disbursements throughout the year
  • Liaise with external brokers, vendors, and auditors to resolve payroll issues
  • Identify, recommend, and implement process improvements to simplify payroll processes and procedures and to integrate best practices
  • Assist with system upgrades within Paycor
  • Build and execute detailed payroll reports in response to internal and external data requests
  • Process employment verifications and wage garnishments
  • Lead the Finance & Accounting teams to research and reconcile payroll transactions
  • Serve as the primary contact for payroll inquiries

Required Qualifications

Education

  • Bachelor’s Degree in accounting or related business degree; (preferred) 

Experience

  • At least two - five years of significant work experience with organizations as a Payroll Manager / Accountant (or equivalent) with non-profit or education organizations strongly preferred;
  • Ability to build and create data, analyze statistics, identify trends and make balanced, objective recommendations taking into consideration varying scenarios and outcomes
  • Knowledgeable about payroll related state and federal labor, employment, and insurance law; charter and education law a plus.
  • Strong Excel and database skills;
  • Strong analytical problem solving skills and strong organizational skills;
  • Extreme flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high level of responsibility and multiple priorities;
  • Ability to work effectively in a fluid environment and with a wide range of colleagues

Physical Demands

Nature of work requires an ability to operate standard business office equipment.  Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.  Physically demands require the ability to stand, bend, reach high and low, stoop, and walk around up to 60% of the day.  In addition, walking up and down stairs several times a day.  Must be able to lift 15 to 20 pounds for short periods of time and push and pull 15 to 20 lbs. 

Working Conditions

Majority of work performed in a general office environment.  Position requires availability for extended hours plus non-traditional hours required to perform job duties.  Also requires participation and attendance at organization-sponsored events and meetings.
